Scope of this notice
This notice covers the privately operated Jesters Gmail Integration, which assists a membership administrator in preparing draft Gmail messages. It does not replace any wider privacy information governing The Jesters Club's membership records.
Information used
For a draft requested by the administrator, the application may use the relevant member's name, email address and membership-related details from existing administrative records, together with standard PDF enclosures. It checks the email address of the Google account authorised to use Gmail.
The current Gmail API integration does not read the administrator's incoming messages or contacts, and does not automatically send email.
How the Gmail permission is used
The application requests the Google Gmail gmail.compose permission to create drafts in the authorised Gmail account. Although that permission is capable of permitting additional composition actions, the current application only requests account-profile information and creates a draft when the administrator selects the corresponding action.
The resulting draft, including its recipient, content and attachments, is stored in the administrator's Gmail account and is governed by Google's service arrangements. The administrator reviews it and chooses whether to send or delete it.
Storage and protection
The Google OAuth authorisation information is stored on the administrator's Windows computer. The stored refresh token is encrypted using Windows user-account protection. Google passwords are not requested or stored by the application.
The application does not send membership databases, Google tokens or email drafts to this public website. The website contains no forms, login function or membership database access.
Sharing and use limitations
Google account data obtained through this integration is used only to provide the email-drafting functionality requested by the authorised administrator. It is not sold, used for advertising, or provided to unrelated third parties. Email draft content is transmitted to Google to create the draft in the authorised Gmail account.
Use of information received from Google APIs is subject to the Google API Services User Data Policy, including its Limited Use requirements.
Retention and control
Gmail drafts remain in the administrator's Gmail account until sent or deleted under that account's normal retention arrangements. The administrator can revoke the application's Google authorisation through their Google Account security settings. Local authorisation files can also be removed from the administrator's computer when no longer required.
